The Receptionist's primary responsibilities include answering the firm's main number, assist with client and in-house meeting scheduling, and assisting/directing client's and visitors.
Essential Job Duties:
Operate ShoreTel reception console by screening and directing calls from the firm's main number; Greet and direct clients and visitors; Maintain professionalism when interacting with attorneys, clients, support staff, and visitors; Schedule and coordinate conference room bookings and requests; possess complete knowledge of conference rooms and their capabilities; Spot clean, tidy, and reconfigure conference rooms, lobby, pantry, and ensure coffee, condiments and glassware are well stocked; Monitor cleanliness and readiness of the conference rooms, lobby, equipment, and furniture.
Report anything that needs attention; Collaborate with all departments to provide a smooth and reliable service; Provide hospitality service for client and in-house meetings by assisting with catering tasks, including ordering of food and setting up/breaking down conference rooms; Track and coordinate visitor offices; Help with basic technology needs and ensure audiovisual equipment like computers, phones, microphones, and video conferencing tools are working properly and set up on time; Administrative assistance to human resources including light clerical work; Coordinate and monitor the distribution and replenishment of parking validation; prepare monthly validation report; Process catering invoices; Punctuality and stellar attendance is required; and All other duties as assigned and required.
Qualifications/Requirements:
High School diploma or equivalent At least 1 year of customer service and/or law firm experience preferred Ability to work independently with some level of autonomy, taking initiative to ensure performance aligns with the successful operations of the office Positive attitude, strong and clear verbal and written communication skills, and excellent customer service skills required Ability to work well with others and without supervision Excellent people skills Excellent phone etiquette; keeping the caller informed Reliable and cooperative manner Ability to work overtime; evening or weekend hours may be required Ability to handle multiple tasks and to remain calm under pressure Ability to keep abreast of all floor plans, extensions, and names of employees Ability to utilize basic features of Microsoft Office Suite applications with moderate guidance and support.
Physical Demand:
Lifting up to 25 pounds; kneeling, bending sometimes required.
Typing/sitting at desk for long durations at a time.
The salary wage range that we expect to pay for this position is from $39,000 - $55,000 and represents our good faith and reasonable estimate of the range of base salary at the time of posting.
The actual salary offered may vary based on experience, qualifications or other relevant factors.
